Reading the OTA Reconciliation monthly report
The OTA Reconciliation module emails you a monthly exception report on the 1st of each month for the previous month's OTA activity. This guide explains what every column means, in what order to read them, and how to turn a flagged disparity into a recovered payout.
Section 1: summary
Top of the report: three numbers. Bookings reconciled — total number of confirmed Lodgify bookings for the month, per OTA. Payouts matched — how many of those bookings have a matching payout on the OTA's statement. Exceptions — the difference, broken down by type. If bookings-reconciled and payouts-matched are equal, congratulations, you're done. Usually they're not.
Section 2: exceptions
Every exception is one row. Columns, left to right:
- Type — one of: Missing payout, Wrong commission, Missing fee, Amount mismatch, Duplicate payout.
- OTA — Airbnb, Booking.com, Vrbo, Expedia.
- Booking ID (Lodgify) — the internal ID; click to open the booking in your Lodgify site.
- Booking ID (OTA) — the OTA-side reference so you can quote it in a support ticket.
- Guest name — helpful for context.
- Check-in and check-out dates.
- Expected — the amount that should have been paid out or charged.
- Actual — the amount that appeared on the OTA statement.
- Delta — Expected minus Actual. Positive means the OTA owes you.
- Suggested action — a pre-filled email link that opens a draft to the OTA's finance support, mentioning the booking ID, the expected amount, and the discrepancy.
Section 3: pre-filled recovery email
Click "Suggested action" on any exception row. Your mail client opens a new message addressed to the correct OTA finance queue with subject "Payout discrepancy — [booking ID]" and body pre-populated with the booking dates, expected amount, actual amount and Lodgify booking reference. Read it, edit if you want, send. Median response time from the OTAs is around 5 business days.
Section 4: quarterly trend
At the bottom of the report, a small chart shows total delta recovered over the past 3, 6 and 12 months. This is the number you'll want to quote when you eventually justify keeping the module. Portfolios above 10 Lodgify units typically show ~1.4% of gross OTA revenue in flagged disparities, of which ~70% converts to actual recoveries.
